Building A Bid Library Your Team Will Actually Use
A reusable content bank only works if it is governed. How to structure, approve and maintain one.
Most businesses already have a bid library of sorts: a folder of old submissions nobody quite trusts. A useful library is smaller, better organised and kept up to date by someone who owns it.
What to include
- Approved answers to the questions you are asked on almost every tender
- Current policies, accreditations and insurance certificates
- Case studies with measured outcomes and permission to use them
- Team CVs and organisation charts
Keep it governed
Give every item an owner and a review date. Content that has not been checked in a year should be flagged before it goes into a live bid.
Treat the library as a starting point, not a finished answer. Every response still needs tailoring to the question and the buyer.
